Organization & Departments

The Organization area is where you model your company’s structure as a tree of departments and control everything attached to each one: who runs it, who belongs to it, how much it can spend, which AI models it may use, and which system prompts apply to it. It’s the single place to create, edit, move, and delete departments and to manage their access and limits.

Before you start

What you can do here depends on your permissions:

  • To open the page and browse the org tree, you need the View Departments permission, or you’ll see the departments you personally administer.
  • To create, rename, move, or delete departments, and to add or remove department admins and members, you need the Manage Departments permission. Without it, the action buttons (like Create Department, Edit, and Delete) won’t appear.
  • To see a department’s Budget tab, you need the View Budget permission. To change a budget or its allowed models, you need the Allocate Budget permission.
  • The Users shortcut in the page header appears only if you have the View Users permission.

You only ever see and manage the departments you administer. Even with broad permissions, the tree is limited to the departments under your control.

Finding your way around

The page uses two columns:

  • Left: the organization tree. Each row shows the department name, a colored budget-status dot (green for healthy, plus warning and exceeded states), the member count, and how much of its budget is used versus allocated. Rows expand to reveal child departments.
  • Right: the details panel for whichever department you select. Until you pick one, you’ll see a placeholder prompting you to choose a department.

On narrow screens (tablet and smaller), the two columns stack and a toggle lets you show or hide the tree.

Your current selection is remembered in the page address, so you can bookmark or share a link to a specific department, and the tree automatically expands to reveal it when the page reloads.

While the tree loads you’ll see a spinner. If you have no departments yet, you’ll see an empty state with a button to create your first one.

The details panel tabs

Selecting a department opens a panel with up to four tabs (you can move between them with arrow keys):

  • Overview – read-only details (name, description, parent, full path, and depth in the tree), the department’s admins, a statistics grid (direct members, total members, and number of child departments), a list of child departments, created/updated dates, and a danger zone for deleting the department.
  • Members – the member list and tools to add or remove people.
  • Budget – spend limits and allowed AI models. This tab appears only if you have the View Budget permission.
  • Prompts – the system prompts assigned to the department.

Creating a department

  1. Click Create Department in the page header.
  2. Enter a Name (required).
  3. Optionally add a Description.
  4. Choose a Parent Department, or leave it as None (Top-Level) to create a top-level department. The department you’re editing and its descendants are hidden from this list so you can’t create a loop.
  5. Click Create. The button shows Creating… while it saves, then the tree refreshes with your new department.

Editing or deleting a department

To edit, select the department, open the Overview tab, and click Edit. You can change the name, description, and parent. Click Save to apply.

To delete, scroll to the danger zone at the bottom of the Overview tab and click Delete. You’ll be asked to confirm, with a warning, before the department is removed. After deletion the selection clears and the tree refreshes.

Moving a department

To reparent a department, drag its row in the tree and drop it onto the department you want as its new parent. You can’t drop a department onto itself or onto one of its own descendants—those targets are blocked to keep the tree valid.

Managing department admins

Department admins are managed from the Overview tab, in the Department Admins section (not from the create/edit form).

To add an admin:

  1. Start typing a name in the admin search box. Matching active users appear as you type.
  2. Click a person in the results to add them immediately.

To remove an admin, click the remove control next to their name and confirm in the dialog that follows.

Managing members

Open the Members tab to see who belongs to the department.

To add members:

  1. Click Add Members.
  2. Search for users by name. Results are shown in a paginated table with role badges and checkboxes; use Previous and Next to page through them.
  3. Check everyone you want to add. The action button shows the count and stays disabled until you’ve selected at least one person.
  4. Click Add Members.

To remove members, select them in the member list and use the remove action. You’ll confirm the removal (the prompt names how many people will be removed) before it takes effect.

Turn on Include Sub-Departments to also list members of this department’s descendants. Toggling it reloads the list accordingly.

Setting a budget

Open the Budget tab (requires the View Budget permission) and click to edit the budget. Changing it requires the Allocate Budget permission. The budget editor works in two steps:

  1. Fill in the details:
    • Budget Amount – the allocated spend. It must be zero or more, and it can’t be less than what you’ve already distributed to child departments.
    • Budget Perioddaily, weekly, monthly, quarterly, or yearly.
    • Action on Exceedwarn (the default) or block. Then click Save Budget.
  2. Review the confirmation summary of the three values and click Confirm & Save.

The Budget tab also shows usage bars, percentages, and child-budget charts. Those are read-only spend metrics to help you decide—see Usage Analytics for the full picture.

Limiting which AI models a department can use

On the Budget tab you can edit the department’s Allowed Models (this also requires the Allocate Budget permission). The editor groups models by provider, each with its own Select All and Clear controls, plus global Select All / Clear at the top.

  • Check the specific models you want to permit, then Save.
  • Leaving the selection empty means all models are allowed.

Assigning system prompts

Open the Prompts tab to control which system prompts apply to the department.

  • To add a prompt, click Assign Prompt, browse the list of available prompts (you can preview each one), and click Assign. If there’s nothing left to assign, you’ll see a message saying so.
  • To preview any assigned or available prompt, open it in the read-only preview.
  • To change the order, drag prompts into the priority you want. Order matters—prompts apply in the sequence shown.
  • To remove a prompt, use the unassign action and confirm in the dialog. The button shows progress while it removes the assignment.

Good to know

  • You can only ever see and act on the departments you administer—that’s how access is scoped, regardless of how broad your permissions look.
  • Department admins are set only from the Overview tab, never from the create/edit form.
  • The parent-department picker and drag-and-drop both prevent you from creating a cycle (placing a department under itself or one of its descendants).
  • A budget can’t be lowered below the total you’ve already allocated to child departments.
  • An empty Allowed Models selection means everything is permitted, not nothing.
  • Each tab has its own loading and empty states. Switching between departments automatically refreshes their members, budget, admins, and prompts.
  • If a prompt’s source has been removed from the prompt catalog, it may show as an unknown entry until the catalog catches up.
