Managing Users
The Users area is your organization’s people directory. This is where you onboard new people by email, keep their names and departments up to date, activate or deactivate accounts, and decide which roles each person holds — either across the whole organization or scoped to a specific department.
Role definitions (what a role can do) live in Roles & Permissions. Here, you assign those existing roles to the right people.
Before you start
To open the directory, you need the View Users permission. To create, edit, or change anyone — including assigning roles — you need the Manage Users permission.
Your access can be organization-wide or limited to the departments you administer. If your permissions are scoped to certain departments, you’ll see only the people in those departments; everything works the same, just over a smaller list.
You’ll find this area at Control Hub → Manage → Organization, then drill into the user directory.
If you can view users but not manage them, the page is read-only: the Create User button, the Actions column, the edit button, and the status toggle are all hidden.
Finding people
The directory lists everyone in a sortable table showing Name, Email, Role, Department, Status, and Created date. Use the filters above the table to narrow things down:
- Search by name or email.
- Role — filter to people holding a specific role.
- Status — show only Active or only Deactivated accounts.
Click Reset to clear all filters at once. On smaller screens, tap the filters toggle to open or collapse the panel.
Click the Name, Email, or Created column headers to sort. Each click cycles ascending, then descending, then off. By default, the newest people appear first.
The list is paginated. When there’s more than one page, use the previous and next controls at the bottom to move between pages.
Creating a user
- Click + Create User.
- Enter the person’s Email. This is required, and it’s the one field you can’t change later, so double-check it.
- Optionally add a Name (their display name).
- Optionally assign a Department: start typing in the department field and pick a match from the list. Use the clear button to leave them unassigned.
- Click Create User. The button shows Creating… while it saves.
New users start with no roles. To grant access, edit the user and add roles (see below).
Editing a user
- Click the edit (pencil) button on the person’s row.
- Update their Name or Department as needed. The Email field is shown but locked — email can’t be changed after a user is created.
- Manage their roles in the Roles section (see the next section).
- Click Update User to save. The button shows Updating… while it saves.
To remove someone from a department, clear the department field before saving.
Assigning and removing roles
Roles are managed from within the Edit User window, in the collapsible Roles section. Each role the person already holds appears as a chip. A chip marked Global applies organization-wide; otherwise it’s scoped to specific departments.
To add a role:
- Open the Add role control to reveal a role search.
- Find the role you want, then choose:
- Add globally — the person holds the role across the whole organization.
- Add scoped — opens the department scoping window so you can limit the role to specific departments.
To adjust where a scoped role applies, click Manage scoping on its chip.
To remove a role, click Delete on its chip and confirm in the dialog that follows. The dialog names the role so you know exactly what you’re removing.
If a person was granted the same role both globally and within a department, you’ll see a single chip for it rather than two.
Activating and deactivating accounts
Use the toggle in the Status column to switch a person between Active and Deactivated. The change applies immediately — no separate save.
A couple of safeguards apply:
- You can’t deactivate your own account; your toggle is disabled.
- Super admins always show a static Active badge and have no toggle.
Good to know
- Email is permanent. It identifies the account, so it’s set once at creation and locked afterward.
- There’s no delete. People can be deactivated but not permanently removed. Deactivating cuts off access while preserving their record.
- The department field is a name search. Type and then pick a result so the department is properly linked. If you type a department name but don’t select it from the list, the person ends up unassigned when you save.
- While the list loads, you’ll see a spinner with Loading users. If no one matches your filters, the table shows No users found — try clearing or loosening your filters.
- Role changes confirm quietly. Adds and removals take effect right away, the role list refreshes automatically, and any problem appears as an on-screen notification.
